The County of Yolo is recruiting to fill one regular, part-time (0.50 FTE) Library Assistant I position at the Archives division of the Yolo County Library. The eligible list that is generated as a result of this recruitment will also be utilized to fill substitute Library Assistant's in various branches of the Yolo County Library System. The salary range for this regular, part-time position at the Archives division is as follows:

$1,274.50 - $1,549.50 per month
$15,294.00 - $18,594.00 annually

This incumbent in this position will serve as support staff for the Records Center. The candidate selected will be primarily responsible for assisting with the pick-up and delivery of records to and from the Records Center; participating in the destruction of appropriate records in accordance with legal retention schedule and destruction guidelines; conducting research and locating documents and records; receiving, researching, and responding to requests for information and records requests; reviewing requests for record releases; pulling, copying and re-filing documents; verifying that all incoming records for storage and destruction are processed in accordance with established Records Center procedures; assisting with the inventory, analysis, and scheduling of County records and forms; receiving and screening visitors and telephone calls; providing information and handling issues that may require sensitivity and the use of sound independent judgment; conducting research, responding to requests for information; m aintaining County records, including assigning location codes and file numbers to all retained documents and records and applying appropriate indexing criteria to records; maintaining and updating records management databases and indexes to track and retrieve records; and maintaining logs of received records. The ideal candidate will have demonstrated experience with the review and/or processing of documents, utilizing records management systems, and creating databases. The Records Center is a small office that requires a commitment to excellence, teamwork, and maintaining a positive work environment for all staff.

Definition
Under close supervision, performs a variety of routine and repetitive library clerical work; and performs other duties as assigned.

Distinguishing Characteristics
This is the entry level of the library paraprofessional series. Positions in this class are characterized by the performance of routine clerical duties requiring discretion and judgment in applying procedures and guidelines. Considerable public contact is involved in the explanation of library services and functions.

Essential Functions:

The following duties are typical of those performed by the incumbents in these classifications; however, other duties may also be required.

Circulation:

  • Prepares circulation desk for service
  • Works at the circulation desk and represents Yolo County and the Library policies in a positive manner;
  • Provides a high level of customer service to a diverse community in-person, over the telephone, and through email and internet as appropriate;
  • Responds to routine questions from customers; responds to customer complaints and refers difficult problems to appropriate staff person; Issues library cards;
  • Assists customers in requesting books, including inter-library loan and digital downloads;
  • Explains library’s circulation policies and procedures;
  • Shelves library materials and files a variety of items numerically and alphabetically;
  • Explains the layout of library, assists customers in locating and selecting library materials and scheduling and booking meeting room(s);
  • Prepares books, newspapers and periodicals for circulation;
  • Searches shelves and files for requested and overdue materials;
  • Receives, receipts, and deposits monies paid for fines and fees and lost or damaged materials;
  • Assists with packing, unpacking, and distributing delivery and new book boxes;
  • Checks in and routes inter-library/inter-branch loan materials;
  • Explains and assists customers with operation of public computers and library equipment;
  • Performs basic troubleshooting of public computers and library equipment;
  • May run systems lists and reports;
  • Organize and lead tours of the library;
  • May perform outreach to the community;
  • Works on improving customer service skills by attending relevant meetings and/or workshops;
  • Design special displays and exhibits, may prepare bibiliographies;
  • May drive Bookmobile;
  • Performs other duties as assigned.
Technical Services:
  • Provides a high level of customer service to a diverse community in-person, over the telephone, and through email and internet as appropriate;
  • Performs routine database maintenance including adding new items;
  • Process routine inter-library/inter-branch loan requests;
  • Prepares and processes routine book orders;
  • Under supervision, runs automation reports and notices;
  • Responsible for the care and maintenance of equipment;
  • Processes and routes incoming and outgoing mail;
  • Performs outreach and represents the library in the community;
  • Provides input into collection development;
  • Expands knowledge of field by keeping abreast of library developments by attending workshops and education programs and reading periodicals and specialized literature;
  • Works on improving customer service skills by attending relevant meetings and/or workshops;
  • Performs other duties as assigned.
This position may also require the performance of different essential or marginal functions depending upon work locations, assignment or shift.

Employment Standards:

Education: Graduation from high school or possession of G.E.D. certificate.

License
