Position Summary:

Supervised by the Library Dean, with day-to-day activities overseen by the faculty lead for Access Services and Information Resource Management, the Information Resource Specialist position is responsible for processing physical materials, including receipt, check-in, shelf preparation, and claiming; copy cataloging print and electronic titles; stacks maintenance coordination; preparing materials for commercial binding or microfilming; and homebinding and mending of materials. The position coordinates student hiring, onboarding, training, and provides lead work direction. The position provides backup support for monographic acquisitions, including ordering, purchase ordering, and invoicing, in coordination with the Acquisitions Specialist.

Key Responsibilities:

Receiving and Copy Cataloging

Unboxes and receives physical materials.

Provides copy cataloging for all purchased and donated materials, including classification, shelf listing, and verification of authorized headings.

Supports discovery of library collections through regular bibliographic maintenance.

Refers original and complex cataloging to the Cataloging Librarian.

Print Periodical and Serial Management

Manages print periodical and standing order receipt and check-in; prepares print subscription materials for shelving;

Maintains bibliographic, holding, and item-level data for print subscriptions as necessary to ensure accuracy of information related to title changes, cancellations, or cessations;

Maintains local holdings in OCLC Connexion Union List (for resource sharing). Coordinates microfilming of newspapers;

Coordinates student assistants supporting periodical maintenance activities;

Coordinates maintenance of microfilm equipment; supports mendery / bindery activities related to print subscriptions;

Plans for long-term shelving needs and supports the de-selection of print periodicals and serials.

Stacks Maintenance Coordination

In coordination with Access Services staff and students, plans and coordinates shelving activities for most library collections, including shifting, shelf-reading, identification of materials in need of repair, re-labeling, stack signage updates, and inventory projects.

Provides logistical support for deselection and shifting projects.

Assist in developing and maintaining stack maintenance procedures.

Student Work Direction

Provides lead work direction for unit student employees and coordinates training and work in collaboration with unit staff.

Assists Appropriate Administrator with hiring students and onboards students, monitors and allocates student hours, directs day-to-day work activities and special projects, and provides oversight and ongoing support for physical processing and mending activities.

Acquisitions

Provides backup support for the acquisition of information resources: 

Works with vendors and vendor reps to initiate and complete orders;

Maintains accurate acquisitions purchase order information in Alma and completes invoicing and reconciliation workflows.

Works collaboratively with Acquisitions Specialist to resolve ordering and accounting issues.

Rush processes orders as necessary, including Textbook acquisitions.

Library Access Services

Provide staff presence at the Front Desk approximately two hours per week, or as needed to cover library operations, including responding to patron inquiries.

Knowledge, Skills, and Abilities Associated with this Position Include:  

Thorough knowledge and understanding of Library operations, including the use of a Unified Library Management Systems (ULMS) for acquisitions and inventory management; 

Thorough knowledge of the principles and procedures of professional library work including methods, practices, and techniques of library copy cataloging and classification; 

Expertise in most aspects of the library’s automated and on-line catalog systems, including database maintenance functions.

Comprehensive knowledge of MARC21, AACR2 and RDA and ability to stay current with contemporary cataloging standards;

Ability to establish, document, and maintain accurate and clear procedures;

Ability to apply library policies and procedures successfully, and contribute to their development; 

Ability to work independently and efficiently perform a variety of duties in a busy environment;

Ability to effectively communicate with colleagues and public contacts;

Ability to recognize and set priorities, and effectively implement individual and shared workflows;

Ability to participate in long range planning through the collection, organization, analysis, and interpretation of data and information.

Ability to provide outstanding customer service orientation focused on helping library patrons;

Ability to provide lead work direction and train student employees;

Proficiency with computer/software applications (primarily Microsoft Office applications, including Excel).

Ability to remain current with new technologies, services, and practices that are impacting Library services and programs. 

Comprehensive knowledge of external on-line databases, systems and resources and trends pertaining to assigned functional area, including expertise in searching strategies.

Comprehensive knowledge of institution’s and library’s policies and practices associated with ethical use of and access to library and on-line resources, as well as general knowledge of library bill of rights and code of ethics.

Demonstrated commitment and/or experience promoting and fostering a working (or learning) environment that is supportive of individuals from diverse backgrounds.

Minimum Qualifications:

The required minimum qualifications for entry into the Library Services Specialist classification are completion of a high school education or equivalent certification plus two to three years of related library and/or clerical experience or an equivalent combination of experience and education. Library experience is important, given the knowledge of cataloging practices in this role. Advancement through the skill levels or placement at a higher skill level, for this classification is based on the level of job function and skills required to perform that level of job function.

Preferred Qualifications:

Bachelor's degree.
