Duties/Responsibilities

Reporting to the Dean and Director of the University Library, the Head of Special Collections & University Archives and University Archivist provides leadership and vision for the department, expertise, and creativity in the development of excellent special collections and archives in a variety of formats. In collaboration with other Library units, participates in and oversees all activities including collecting, processing, organizing, preserving, and making accessible collections of rare books, manuscripts, archives, photographs, electronic records, digital collections, and other non-print, rare and special materials. Collaborates with academic department faculty, librarian liaisons, other special collections units, Library staff, and the general community. Develops, implements, and assesses new programs to further promote knowledge of and use of the collections. The Head is actively involved in donor cultivation and fundraising and works closely with the Dean and the Office of University Advancement. As University Archivist, leads the development of the Sacramento State archives and collection services, including selection and management of the historical records of the campus, in all formats, as well as promoting awareness and use of the collections. Develops strong relationships with administrative and academic units on campus and across the CSU system to assess and preserve historical records at risk. Has overall responsibility for personnel supervision, budgeting, and resources management within the department which currently consists of two librarians (1.5 FTE) and two staff positions, as well as a number of student assistants, interns, and volunteers.

Qualifications

REQUIRED:

  • Graduate degree in library, information, or archival sciences from an ALA-accredited program or an equivalent combination of relevant advanced degree and library experience. 
  • Five years of successful and increasingly responsible professional experience in a special collections and/or archives setting. 
  • Demonstrated leadership and forward-thinking vision for special collections, archives, and digital scholarship. 
  • Excellent oral and written communication skills. 
  • Ability to work creatively, collaboratively, and effectively and to promote teamwork. 
  • Experience successfully supervising, mentoring, and training library personnel. 
  • Experience in developing and managing special collections and archival resources in print, digital, and other formats. 
  • Knowledge of current archival management practices, project planning methods, policies, procedures, and trends. 
  • Strong commitment to public services and user-centered reference and instructional services with an understanding of the scholarly use of library collections and services within a special collections setting.

PREFERRED:

THE POSITION

The Human Resources Department is accepting applications for the regular and full-time position of Librarian II in the Parks, Recreation & Libraries Department. The normal work schedule may vary from 8:00 am to 7:00 pm Monday – Friday and will include weekends.

DEFINITION

To perform professional duties in support of Department activities including libraries and museums; to assist customers with inquiries and research; to code, classify, and lead cataloging and processing activities of technical staff; and to select and evaluate collection materials.

DISTINGUISHING CHARACTERISTICS

Librarian I - This is the entry level class in the Librarian series. This class is distinguished from the journey level by the performance of the more routine tasks and duties assigned to positions within this series. Employees at this level are not expected to perform with the same independence of direction and judgment on matters allocated to the journey level. Since this class is typically used as a training class, employees may have only limited or no directly related work experience. Employees work under general supervision while learning job tasks.

Librarian II - This is the journey level class within the Librarian series and is distinguished from the I level by the assignment of the full range of duties. Employees at this level receive only occasional instruction or assistance as new, unusual or unique situations arise and are fully aware of the operating procedures and policies within the work unit. Positions in this class are flexibly staffed and are normally filled by advancement from the I level.

SUPERVISION RECEIVED AND EXERCISED

Receives direction from a Library Supervisor or City Librarian.

May exercise direct supervision over technical and administrative support personnel; and technical and functional supervision over lower level professional personnel.

EXAMPLES OF ESSENTIAL DUTIES
Duties may include, but are not limited to, the following:

  • Provide reference and advisory services to customers; perform professional work in the classification, cataloging, and ordering of collection materials of various media including original cataloging when required; assist with implementing on-going authority control procedures and maintain authority file.
  • Provide administration and maintenance of an integrated library system; the library’s commercial databases; the department’s web pages and social media sites and virtual department services. 
  • Train staff and patrons on new techniques and technologies associated with library services. 
  • Assist in developing the collection by reading, reviewing and recommending materials; review current collection to determine additional materials needed and select materials for repair or discard.
  • Observe operations and make recommendations related to a variety of library services including Internet, audio-visual, reference and technical services; prepare and maintain related records and reports. 
  • Identify various user and community needs and recommend, plan and assist in developing appropriate programs; design and arrange library/museum materials for display; compile bibliographies for print and/or department website use.

Librarian I

Knowledge of:

THE POSITION
Under the general direction of the Director of Library and Recreation Services, directs, manages, supervises, and coordinates the activities and operations of the Paso Robles Public Library.

PRIMARY POSITION PURPOSE

Reporting to the Head of Technical Services and Collection Development this position manages the acquisition of and maintains access to print and digital continuing resources.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  1. Maintain accurate Bibliographic, Order, Item, and Check-in records related to Serial subscriptions in Millennium Database
  2. Initiate, renew, or cancel, serial subscriptions by means of vendors or individual publishers

PRIMARY POSITION PURPOSE

Reporting to the Head of Technical Services and Collection Development this position oversees the
administration of the GTU Integrated Library System (ILS); maintains access to digital resources; performs original cataloging of library materials, as needed, in all formats.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  1. Provides technical management, maintenance, documentation, and support for the library's Integrated Library System (Millennium) and related services, including local support for associated hardware and desktop client software for library staff.
  2. Facilitates communications between vendors and local IT staff.
  3. Manages and negotiates contracts with Systems and other service vendors and facilitates payment of relevant invoices.
  4. Ensures seamless data loads from outsourced cataloging and authority control providers within the scope of local cataloging policies.
  5. Oversees the technical aspects of cataloging and authority-control outsourcing initiatives with YBP and Backstage.
  6. Manages residual cataloging functions: develop and manage cataloging projects by student copycatalogers; performs original cataloging as needed; coordinates all aspects of authority control; develop and document local cataloging policy and work flow procedures.
  7. Compiles data and maintains relevant statistics.
  8. Supervises physical processing of library materials.
  9. Hires, trains and supervises student copy-catalogers and processing assistants.
  10. Serves as a member of the Library Management Team.

Instructors assume responsibility for maintaining currency in the field, for updating existing courses and developing new curricula (including courses that serve community needs, such as short, non-credit, or online courses), assisting in the assessment of student learning outcomes, participating in department activities and other college service such as committee work, managing laboratories, and participating in community outreach on behalf of the college.


MINIMUM QUALIFICATIONS:
Required:
  • Master's Degree in Library Science or Library and Information Science from an ALA (American Library Association) accredited institution; OR the equivalent; OR a fully satisfied (Life) California Community College Credential in Library Science.

Preferred:
  • Familiarity with emerging trends in library resource access and management and ability to adapt quickly to changing technologies.
  • Demonstrated knowledge of and experience applying metadata standards including AACR2, MARC 21 format for bibliographic and holdings records, Resource Description and Access (RDA), to multiple materials formats and archival materials.
  • Demonstrated project management skills in technical services operations or similar library-related operations. 
  • Ability to operate, maintain, and evaluate integrated library systems, preferably Ex Libris systems. Experience with planning and implementing ILS migrations or similar conversions preferred.
  • Working knowledge of all aspects of OCLC Connexion program for cataloging.
  • Familiarity with Interlibrary Loan systems, preferably OCLC WorldShare and including copyright and fair use rules and regulations
  • Experience with the review and negotiation of favorable pricing and licensing terms for a wide variety of acquisition’s models and vendors, including traditional library jobbers and patron-driven acquisitions.
  • Experience managing, evaluating and monitoring library materials, supplies and services budgets.
  • Experienced leadership and direction in the selection/deselection of materials to ensure a relevant and future minded collection.
  • Experience managing the technical aspects of maintaining a print periodicals collection.
  • Recent experience supervising paraprofessional staff including the establishment of goals, workflows, priorities, policies, procedures, and support ensuring that processes are efficient and projects are completed in a timely manner.
  • Ability to analyze and to solve problems creatively and flexibly in a complex and dynamic environment.
  • Proven ability to initiate, plan and implement projects and services.
  • Demonstrated interpersonal skills and leadership experience.
  • Experience in providing service at an academic library Reference Desk.
  • Experience in providing instruction via workshops or courses in Information Literacy.
  • If offered, experience and/or willingness to teach on-line.
  • Requires a sensitivity to, and understanding of, the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of community college students.

Job Summary
Library Services Specialists provide essential direct and indirect support to library users ranging from student, faculty, staff and the general public. They provide input to and are responsible, at varying levels, for implementation and application of library programs and policies.
Under the direction of the Head of User Services, this position provides processing of library materials for fulfillment purposes as well as front line public services. Incumbents at the LSS II level work independently to perform more complex technical tasks in a specified functional area within a library unit and may provide functional oversight for assigned area. Incumbents also may be responsible for coordinating work of student workers assigned to the area and may participate in hiring, training, evaluating and payroll processing of student workers.
This position requires working a flexible schedule, including regularly working weekends and evenings.
This position requires considerable discretion in interacting with a diverse group of clientele in a fast-paced, high pressured environment.

Entry Qualifications:

-Comprehensive knowledge and skills in several of the following databases; the Fulfillment and Analytics functions of ALMA, Primo, ILLiad, Odyssey, RapidILL, MELVYL, the classification schemes used in the Library (Library of Congress, SuDocs), the University Portal and CMS (Common Management System), CashNet. and basics of SacCT.
