ESSENTIAL DUTIES:
Under the general supervision of the Dean
of Library Services and the day to day lead direction of the Librarians in the Special
Collections and Technical Services library units, the incumbent will perform
duties including but not limited to:
- Perform bibliographic search in the OCLC WorldCat database and the CSU-system-wide catalog Alma, review and select records for newly acquired library resources in different format (such as monographs, serials, periodicals, on-line journals, music scores, electronic-based materials, media materials, and other print and non-print materials.)
- Download selected records from WorldCat and/or Alma to the local instance of the library catalog; update and modify the records according to established standards and policies for web-based catalog display and resource sharing. Create original bibliographic records for titles not in OCLC and CSU-system-wide catalog as needed.
- Revise and replace outdated bibliographic records in the library catalog as needed.
- Maintain knowledge currency in cataloging rules and CSU system-wide practices; initiate and perform bibliographic maintenance projects as needed.
- Using established templates, create metadata records for resources submitted to the library’s Institutional Repository.
- Carry out collection review projects initiated by review committees and perform follow up actions, such as retrieving items from stacks and deaccession of cataloged materials in OCLC and CSU-system-wide catalog. Maintain cataloging statistics and generate reports as need.
- Provide access service to users of Special Collections by appointment and prepares researchers for their visit to Special Collections (providing directions and parking information).
- Orients researchers to reading room registration procedures and proper handling of items. Monitors the reading room following department procedures to ensure the safety and security of materials.
- Records department statistics in appropriate databases and runs reports; retrieves and shelves items; makes copies for patrons and scans items.
- Respond to inquiries about collections and requests for information in-person, over-the-phone, and through e-mail and refers more specialized research questions to other employees as necessary.
- Accessions materials following department procedures.
- Processes archival collections in all types of formats following department standards (rehousing materials, labeling folders, digitization, data entry, and research).
- Develop finding aids and metadata records for Special Collections using an archival management system and library databases.
- Participates in ongoing collection preservation, evaluation, and storage needs.
- Prepares rare books for Special Collections.
- Participates in communications with donors, campus partners, community organizations, faculty and students from CSU Stanislaus and/or other universities;
- Participate in the hiring, training, evaluating and coordinating the work of student assistant(s).
- Oversees occasional student assistants and volunteers; Helps to formulate workflow, schedules, and procedures for student assistant(s).
- Track supplies inventory and submit purchase requests for replenishment
- Recommend, collaboratively develops, and implements practices for the improvement of workflow and unit operation.
- Maintain good working relationships with the acquisitions/technical services, circulation and reference units.
- Keeps abreast with current trends and best practices in the special collections and archival field.
- Attends appropriate workshops and conferences to learn new skills and promote the unit when budget allows.
- Attend work and work-related meetings and trainings as required. Perform other duties or projects as assigned.
MINIMUM QUALIFICATIONS:
- High school diploma or equivalent certification.
- Three years of progressively responsible library work experience. A bachelor’s degree in a job related field may be substituted for one year of experience.
PREFERRED QUALIFICATIONS:
- Two to three years of cultural heritage work* (gallery, library, archive, or museum) experience or an equivalent combination of experience and education (*B.A. in History is considered equivalent cultural heritage work experience.)
- Knowledge of archival management systems and institutional repositories.
- Knowledge of record formats such as MARC, EAD, and Dublin Core.
- Familiarity with the fundamentals and practices of Special Collections access services.
- Familiarity with archival and library terminology, bibliographic standards, and reference databases.
- Familiarity with archival processing, especially arrangement and description of collections.
- Familiarity with finding aid creation.
- Experience with the conservation of materials.
- Ability to learn new software related to archival processing, collection management, finding aid creation and dissemination, digitization, and collection usage
- Related working experience in an academic library.
- Working experience in performing copy cataloging of library materials.
- Working experience in using an online library integrated system.
- Ability to work within a diverse environment and be service-oriented in working with patrons and other library staff, including the ability to establish and maintain effective working relationships within and outside the library.
- Working knowledge of library (or other institutions such as archive, museum, gallery) collection and its organization; demonstrated ability to understand classification schemes.
- Knowledge of online research/discovery databases and management systems and ability to perform complex online searches.
- Ability to fully utilize standard and non-standard features of various online resources and standard desktop software packages, such as word processing and spreadsheets, to perform technical work or assist patrons.
- Demonstrated ability to compile and present information in an organized manner; strong written and verbal communication skills to be able to prepare internal library reports.
- Strong public service and interpretive skills to be able to interview patrons regarding their information needs and guide them in the use of more complex library and online resources.
SPECIALIZED KNOWLEDGE, SKILLS, AND ABILITIES:
- General knowledge of library policies and procedures and more specific knowledge of policies and procedures and work methods pertaining to the assigned functional area and work unit.
- Ability to interpret library unit’s policies and procedures and apply them accurately in performing work functions, as well as the ability to evaluate procedures and recommend changes.
- Full proficiency in all technical aspects of work assignments including a thorough knowledge of functional area policies and procedures and applicable work methods.
- Working knowledge of library terms and bibliographic formats and structures, including the ability to conduct a simple bibliographic search.
- General knowledge of library collection organization and classification scheme and ability to interpret bibliographic records.
- Working knowledge of institution’s and library’s policies and practices associated with ethical use of and access to library and on-line resources.
- Basic knowledge of national standards and guidelines pertaining to libraries, including working knowledge of institution’s standards pertaining to copyright and intellectual property protection and the ability to source and apply such policies and standards to avoid potential violations.
- Knowledge of basic library research methodology and the ability to use it.
- Full proficiency in the use of automated library system(s) and subsystem(s) pertaining to functional area.
- Ability to access various on-line resources and databases used within the library and to use their standard features to perform technical work and/or assist patrons.
- Ability to fully utilize standard and non-standard features of various on-line resources and standard desktop software packages, such as work processing and spreadsheets, to perform technical work or assist patrons.
- Demonstrated problem solving and research skills to address standard and non-standard work problems.
- General knowledge of library accounting and budget procedures, including the ability to perform arithmetic operations to track and monitor vendor accounts and budgets.
- Demonstrated ability to compile and present information in an organized manner.
- Effective communication skills, including the ability to work with the public and assist patrons with basic inquiries and direct them appropriately in locating and using library materials and inform them of applicable library policies and procedures. Effective communication and interpretive skills to be able to assist in resolving patron problems and complaints, assess patron information needs, and orient and guide patrons in use of library resources.
- Ability to effectively provide lead work direction and training to student workers and an understanding of employment and payroll procedures related to student workers.
WORK ENVIRONMENT:
- May work in dusty environment.
PHYSICAL DEMANDS:
- Must be able to sit for long periods of time, frequently walk, occasionally bend and squat; push and pull up to 100 pounds; lift and carry up to 25 pounds and the occasional 40 pounds; use a hand cart; use a keyboard; and occasionally climb a step-ladder for shelving and shifting.
SALARY RANGE:
- $3,101 - $5,476 per month plus excellent paid benefits. (Position will typically be hired at or near the entry salary.) The California State University offers a premium benefit package that includes, but is not limited to, outstanding vacation, health, dental, and vision plans; a fee waiver education program; membership in the California Public Employees Retirement System (PERS); and 14 paid holidays a year.
