Department Description: The University Library consists of the Peter J. Shields Library, the Carlson Health Sciences Library, and the Physical Sciences & Engineering Library in Davis, and the Blaisdell Medical Library in Sacramento. The total combined budget for the Library includes approximately 550 accounts and sub-accounts that total more than $38 million annually (base budget and current year funds). Position Details 
Job Summary:  Under general direction of the Associate University Librarian (AUL), Administrative Services, the Administration Analyst will provide additional financial analytical support for multiple high-profile projects including implementing a new financial system (AggieBudget), transition to Shared Services Center's (SSC) Accounts Payable Invoicing Service (APIS), and completing conversion of all Library units to PrePurchasing. 

Physical Demands:
  • Work at computer for extended period of time (6-8 hrs. per day).
  • Move/manipulate supplies and equipment of various weights (up to 25 lbs). 

Work Environment:
  • Maintain a work schedule during core business hours (typically Monday through Friday, 8:00 am - 5:00 pm.)
  • Work occasional overtime including evenings and weekends to meet project deadlines and/or operational needs.
  • Restricted vacations during fiscal close.
  • Must be able to work with frequent interruptions.
  • Responsible for adhering to and following safety procedures and regulations.

Qualifications 
Minimum Qualifications:
  • Experience in financial analytical support including preparation and analysis of financial data and reports, and account reconciliation.
  • Experience collecting, evaluating, and summarizing information into concise and clear reports, and explaining financial information to internal staff with non-financial/personnel backgrounds.
  • Knowledge and experience with Microsoft Office suite including advanced Excel skills using linked data, pivot tables and V-lookups.
  • Experience using automated financial systems.
  • Analytical, critical thinking, and problem-solving skills to analyze complex financial data and develop meaningful solutions to specific problems.
  • Interpersonal skills to effectively and professionally communicate, and work cooperatively with various constituencies.
  • Written communications skills to compose well-organized, accurate, and grammatically accurate written documents and emails, and proofread and edit drafts developed by others.
  • Time management and organizational skills to effectively manage details of multiple projects, with conflicting deadlines, and to follow through on tasks to completion within specified deadlines and strict attention to details.
  • Mathematical skills. 

Preferred Qualifications:
  • Experience with UCD's Financial Systems (DaFIS/Kuali and DaFIS Decision Support), and UC Payroll/Personnel System (PPS).
  • Skill to interpret and apply UC policies and procedures related to financial and personnel administration.
