JOB SUMMARY


Under the general supervision of the Department Head, this position is the Unit Head for Operations for Access & Delivery Services staff across two Davis campus libraries, and consults as necessary on operations matters with the Blaisdell Medical Library in Sacramento. In consultation with Department Head, interviews & recommends for hire career employees & student assistants. Oversees training, supervision & evaluation of career & student staff. The Operations Unit has broad oversight for day to day back- facing operations, staffing, and long term planning of the Unit. The Head of Operations has broad responsibility for ensuring Department staff provides effective and positive public service. Acts as the lead and direct support for the Department Head in all areas of operations. Responsibilities include assessment, managing projects, gathering statistics, preparing proposals, processes and procedures. The Operations Unit head works closely with the Unit Head for Circulation and Interlibrary Loan on staffing and training needs. This position coordinates with other departments on assessment and facilities related projects across all libraries. This position also supervises Library Security Guards
 who work in Shields, ensuring patron safety, assisting in emergency situations and in closing both facilities.

WORK ENVIRONMENT                 


Works M-F onsite during normal business hours. Must be flexible to answer occasional questions from direct reports outside of normal business hours, and/or to work outside of normal business hours in order to fulfill supervisory responsibilities.

QUALIFICATIONS


Required:      


  • Experience working in a large, busy academic library or similar customer service centric setting. Experience or ability to master over time following and/or working with library practices, lending code, business contracts and manuals.
  • Management experience and supervisory skills to select, train, motivate, counsel/discipline and evaluate a diverse work force that provides positive and responsive service in a high pressure environment.
  • Experience documenting and responding to building facilities, safety, and security issues.
  • Experience using MS Excel and Access to analyze and present quantitative and qualitative data. Experience using internet, email, word processing and spreadsheet software.
  • Experience working daily with exceptionally heavy person-to-person contact.
  • Skills to exercise independent judgment to make appropriate decisions, solve problems, and exercise flexibility and creativity in adapting routines and coordinating with other units to consistently apply policy.
  • Organizational skills to work independently, establish priorities, and organize fluctuating work loads for self and staff.
  • Skills to analyze policies and procedures, determine staffing, equipment and space needs; develop and interpret data, and prepare reports.
  • Interpersonal and communication skills to successfully interact with a diverse patron and staff population, and to remain calm and exercise tact and compassion when dealing with individuals and intense situations.  Oral and written communication skills to provide clear and concise information, prepare reports, correspondence, update manuals, and performance appraisals.

Preferred:          


  • Bachelor’s degree or equivalent in experience
  • Experience using an integrated library system or similar online systems
  • Experience supervising Security Guards
  • Ability to communicate clearly and effectively
  • Ability to adapt to changing priorities
  • Ability to perform all duties professionally and within specified timelines/deadlines
