POSITION PURPOSE:
Under the general description of the Library Services State Manager, incumbent will copy catalog, prepare original descriptive catalog records from existing templates, and support the maintenance of accurate catalog records for physical and electronic materials. The incumbent catalogs physical and electronic materials, such as monographs, government documents and audiovisual materials. In addition, the Library Services Specialist serves as the primary copy cataloger for federal, state, and government documents collection in both print and electronic formats and collaborates on related projects, such as weeding and physical processing and other duties as assigned.
DUTIES & RESPONSIBILITIES:
A. CATALOGING
- Copy cataloging and coordinating original cataloging with Cataloging Librarian (when no bibliographic record exists) of physical resources including print (monographs and periodicals), audio, visual, mixed media kits and equipment. Materials to be cataloged may have been purchased, deposited, donated or placed on reserve.
- Working with other Library Services staff, and librarians, to maintain material records in any and all phases of the material lifecycle.
- Copy cataloging, and working with the Government Documents Coordinator, to maintain the physical and electronic Government Documents collection.
- Forwarding cataloged materials to student assistant for physical processing and fulfillment of item requests or deaccession as needed.
- Supporting Archival staff by cataloging materials for special collections.
- Training student assistant to physically prepare physical materials for shelving, and fulfilment of requests. Writing and updating procedures assigned to student assistant as well as associated workflows, monitoring quality of work, and reviewing tasks as required.
- Regularly reviewing workflow procedures relating to items which require repair or other action taken
B. ACQUISITIONS SUPPORT AND PERIODICALS
- Supporting Acquisitions staff by searching purchase requests to avoid duplication of resources, importing bibliographic records or creating brief records, and creating purchase order lines.
- Upon receipt of ordered materials, editing or replacing brief records with complete bibliographic records as needed, completing item details and updating holdings.
- Updating serial bibliographic records and holdings in response to title changes, cessations, or when subscription cancelled.
- Updating and closing purchase order lines as required. Communicate such changes with appropriate staff and librarians.
C. CHECK OUT DESK DUTIES
- Circulating library materials CSUB and CSU+ collection as well as ILL.
- Answering general library services and directional questions
- Contacting Admin, Help-Desk or other CSUB departments as required to resolve issues
- Creating Community member accounts
- Assisting with library opening and closing procedures as required including counting cash and securing building
D. OTHER JOB DUTIES
- Ongoing teamwork and project collaboration with staff and faculty across Library Services functional areas
- Reviewing, updating and documenting workflows and procedures in a shared file accessible to all staff
- Cross-training colleagues in copy cataloging, and likewise receiving training from them in their respective functional areas
- Performing other job-related duties and special projects as assigned.
- Participating in ongoing training, to maintain skill currency and / or acquire new skills relating to job responsibilities.
REQUIRED QUALIFICATIONS:
EDUCATION & EXPERIENCE –
High school diploma or the equivalent and four (4) years of directly related experience.
SKILLS, KNOWLEDGE & ABILITIES (SKA’s):
- Thorough knowledge of and ability to interpret overall library policies and procedures and an in-depth knowledge of library operations, policies and procedures pertaining to assigned functional area, including a solid understanding of individual work functions and the ability to adapt work procedures.
- Working knowledge of library collection and its organization, as well as classification schemes.
- Demonstrated expertise in creating and correcting bibliographic records.
- Thorough knowledge of external on-line databases, system, and resources, including the ability
- to perform complex on-line searches.
- Thorough knowledge of institution’s and library’s policies and practices associated with the
- ethical use of and access to library and on-line resources.
- Working knowledge of national standards pertaining to library operations, including a thorough
- knowledge of institutional standards pertaining to copyright and intellectual property protection
- and the ability to interpret and apply them, as well as explain them to patrons, to ensure
- compliance.
- Demonstrated expertise in using library automated system(s), especially subsystem(s)
- pertaining to the functional area, including database maintenance.
- Ability to investigate and research more complex problems, including analyzing and interpreting
- information.
- Working knowledge of library accounting and budget procedures and allocation processes, and
- ability to apply this knowledge to assist in handling vendor accounts and the budget process.
- Strong written and verbal communication skills to be able to prepare internal library reports and
- written and visual presentations on library resources and present them to library patrons,
- including students.
- Strong communication and interpretive skills to be able to interview patrons regarding their
- information needs and guide them in the use of more complex library and on-line resources.
- Thorough knowledge of all aspects of lead work direction including assisting in employee
- selection, training employees in new work procedures, assigning work, organizing workflow and
- establishing priorities, reviewing work, providing input to performance evaluations and
- promoting teamwork to optimize effectiveness. Working knowledge of campus human resource
- practices and payroll procedures.
- Strong organizational skills to oversee and lead workflow in assigned area.
- Cataloging skills including working knowledge of MARC 21 format, AACRII, RDA, BIBCO and CONSER cataloging standards, and cataloging in a consortial environment
- Knowledge of Library of Congress classification system and LC subject headings
- Familiarity with Library Resource Management, Fulfillment, and Acquisitions modules and ability to design and run reports
- Working knowledge of OCLC Client Connexion for cataloging
- Proficiency with MS Outlook, Word, and Excel
- Ability to communicate effectively and work cooperatively with others
- Ability to collaborate with others to review and improve workflows and resolve problems
- Willingness to receive instruction and share knowledge
- Willingness to assist staff assigned to other functional areas with projects as needed
- Regular and reliable attendance is required.
- Must be willing to travel and attend training programs off-site for occasional professional development.
- Must be able to work occasional holidays and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
PREFERRED QUALIFICATIONS:
Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.
Familiarity with Primo user display of ALMA bibliographic records
Working knowledge of Ebsconet for serials management
PHYSICAL DEMANDS:
LIGHT WORK – involves mainly sitting, up to 25% standing or walking; lifting medium weight objects limited to 25 pounds.
