DUTIES / RESPONSIBILITIES
Implement a unified cataloging strategy, while looking for areas of improvement or efficiency during implementation.
Responsible for the day-to-day operation and maintenance of newly implemented strategy.
Responsible for the migration of legacy documents into new strategy.
Assist with document retrieval from internal and external physical and electronic resources, copying, scanning, saving documents as electronic files.
Assist with physical document collection maintenance, including cataloging, processing and physical archiving and simple data entry.
Act as the central point of contact for all users for inquiry, discovery, troubleshooting and support.
Acquire and maintain up-to-date knowledge on cataloging and digital asset archiving for process and organizational improvement.
Create weekly status updates to all stakeholders during the initial rollout of the strategy.
Participate in policy development related to institutional data management and governance as it relates to records management.
Coordinate and work with departments to ensure records retention and destruction are in accordance with established procedures and applicable laws and regulations.
Ensure that personnel are knowledgeable and kept current about records management principles and requirements, and that they receive records management training appropriate to their needs.
Participate in meetings of the Records Management Steering Committee, including preparing summary briefings on projects and taking committee minutes
Collaborate with key stakeholders on various related initiatives developing strategies to minimize risk exposure and improve safeguards protecting the company's records, including integration of a disaster recovery program.
Perform related duties or special assignments as directed.
QUALIFICATIONS (knowledge, skills, abilities)
Required Qualifications:
Bachelor's Degree in Library/Information Science or other relevant discipline.
1-3 years' experience evaluating, reviewing and implementing document management systems.
1-3 years' experience managing data or document system projects from planning through to maintenance.
Experience and proficiency with Microsoft systems, including Sharepoint and Office Suite.
Strong systems thinker with demonstrated ability to review, evaluate and analyze the functionality and appropriateness of systems for the organization.
Excellent verbal and written communication skills; ability to create instructional materials to support the project for non-technical users.
Ability to influence and collaborate with various levels of the organization.
Strong attention to detail, strong accuracy and organization skills, required.
Preferred Qualifications:
Certification in Records Management (CRM), Certified Information Professional (CIP) or Electronic Records Management Master (ERMM)
