Senior Library Technical Assistant (Full-Time, Day Shift)


POSITION SUMMARY:
  • The library technical assistant is responsible for paraprofessional functions in the medical library. The incumbent processes requests for medical information using the National Medical Interlibrary Loan Service (DOCLINE).
  • Provides reception, responds to emails, and answers phone calls. The incumbent prioritizes the work requests according to medical library triage protocol. Sets up and maintains library patron access to the electronic medical resources, both journal and book.
  • The incumbent oversees, trains, and provides daily guidance to the library team of volunteers. Order supplies and maintains inventory and ensures payment of library interlibrary loan invoices. Processes and tracks incoming print material subscriptions. Incumbent catalogs and maintains all library resource materials, both online and in print.
  • Incumbent provides daily guidance to hospital information ambassador volunteers (HIAs), including unit assignments, forms maintenance and updates, review and triage of patient information requests from HIAs. Incumbent assists with fulfillment of information requests and timely delivery back to the patients.
  • Triage and process physician and staff information requests. Collaborates with medical librarian to fulfill those requests.
  • Incumbent oversees circulation of library collection and overdue notices, retrieving overdue material. Backs up medical librarian as required.

REPORTING RELATIONSHIPS:
  • The library technical assistant reports to the Administrative Director Nursing Education. Indirect reporting and daily functional guidance from the medical librarian. This position is part of the Patient Care Services Division, under the Chief Nurse Executive.

QUANTIFIABLE DIMENSIONS:
  • Financial steward for $4000 annual expenses for interlibrary loan, and $1200 annual supplies budget.
  • Oversees, trains and guides 20-25 library volunteers.
  • 12 in-library volunteers
  • 8-12 HIAs who provide patient visits
  • 1400 Docline requests processed annually.
  • Assists with 1400 information requests fulfilled annually for inpatients.
  • 304 table of contents requests filled annually.

MINIMUM POSITION REQUIREMENTS:

Education:
  • AA degree preferred, Bachelor’s Degree desired
  • Completion of medical terminology course or equivalent experience showing familiarity with medical terminology.
  • Certification as Library Technical Assistant required

Experience:
  • Minimum 1 year library working experience.
  • A personal history of volunteerism over a period of at least 1 year is desired.

Knowledge:
  • Proficient in Microsoft Office and Internet searching.
  • Current awareness of technology resources used for information searching via the Internet.
  • Familiarity with various software tools for business operations, statistical tracking, reports generation, and creation of training materials

Skills and Abilities:
  • Able to work with frequent interruptions and balance multiple priorities.
  • Cultural Diversity skills, showing the ability to work tactfully with people from most socio-economic and ethnic backgrounds
  • Ability to perform activities involving many details with accuracy and follow-through
  • Flexibility to cope with frequent planned and unplanned change
  • Effective interpersonal communication skills in working with upset/emotional customers such as those often encountered in the Acute Hospital care settings Physical Requirements:
  • Able to speak, hear and see.
  • Able to reach and bend to access materials in library shelving areas, and push library book truck weighing between 100-200 lbs.
  • Requires sitting, frequent standing, walking of up to 5,000 steps per day in accessing hospital campus destinations.
  • Correctable vision for reading and online computer research.
