Herndon Solutions Group (HSG) is seeking a Records Management Specialist to support the U.S. Environmental Protection Agency’s (EPA) Records Center in San Francisco, CA.  The Records Center is a critical repository of enforcement data used by EPA personnel to enforce federal environmental laws and regulations against potentially liable parties.
HSG is an SBA 8(a), woman-owned business headquartered in Las Vegas, Nevada with offices in Denver and Detroit.  HSG works with federal, state, local, and tribal governments, as well as commercial and private-sector organizations to provide practical solution development and implementation services in the areas of emergency planning, environment, and sustainability. 

Skills/Qualifications (Required):
  • Education/Experience: 
    • B.S./B.A. Degree or equivalent, with 1 year of experience
  • Experience interpreting information from various document types and translating this information into systems that will be searched. 
  • Experience with and understanding all aspects of electronic data collection, processing, and production.  Demonstrated data management experience. 
  • Highly self-motivated and directed.
  • Attention to detail required.
  • Proven analytical and problem-solving abilities.
  • Strong written and oral communication skills.
  • Ability to effectively plan, prioritize, organize and execute tasks in a high-pressure environment.
  • Strong customer service orientation.
  • Strong interpersonal skills.
  • Comfortable working with various software applications.
  • Experience performing databases searches to locate specific information and records.
  • Experience following and writing detailed standard operating procedures and protocols.
  • Experience in records management, litigation support or related document management field.
Recommended:
  • Knowledge of Superfund process and other environmental laws and regulations.
  • Knowledge of EPA data systems.
  • Experience implementing technology solutions to streamline functions and improve productivity.
Duties: 
  • Provide innovative solutions to document management processes and systems.
  • Support EPA in responding to their records management needs.
  • Assist in administering EPA’s Superfund Document Management System (SDMS) by inputting information from documents into the system, creating document collections in response to requests, and training users on techniques to locate documents in SDMS.
  • Under the direction of a manager, receive and track information from various sources, and enter this information into computerized tracking/case management systems. Enter data according to detailed codes and standards.
  • Requires interpreting contents of documents and entering accurate bibliographic information about the documents into large document retrieval database.
  • Implement key word searches to identify, retrieve, and produce electronic files stored in various computerized data systems; respond to inquiries from EPA regarding environmental enforcement cases, Freedom of Information Act requests, Congressional inquiries, Government Accountability Office Inquiries, Administrative Record generation and other special collections.
  • Responsible for all activities related to the management and maintenance of documents and records in EPA Records Center; track and organize record collections as they are delivered to the EPA Superfund Records Center.
  • Develop, maintain and update standard operating procedures pertaining to record management initiatives.
  • Generate document collections in paper and/or electronic format and burn collections to CD or DVD, quality checking all work products.
  • Perform quality control checks on data and correct erroneous information in accordance with established procedures. Prepare reports to supervisor on data entry and data changes as required.
  • Translate technical instruction and guidance into usable data.
  • Ensure that records are organized and classified in the applicable file structures.
  • Set up and work with databases and information systems to catalogue and access information.
